Hot Bread Kitchen Administration

Sales Coordinator

The Sales Coordinator will be primarily responsible for managing the day-to-day operation of our grocery, restaurant and catering sales.  Reporting to the Business Development Manager, the Sales Coordinator will support Hot Bread Kitchen’s Sales Team in attaining our ambitious goals for growth in 2012 and beyond.

Responsibilities Include:

  • Process all weekly bread orders and prepare accurate daily reports for Production and Packing crews
  • Process any special orders, pack and prepare UPS/USPS shipments when required.
  • Create and review all invoices and/or packing slips for wholesale orders
  • Communicate with Operations Manager to prepare route lists for wholesale and restaurant deliveries
  • Coordinate packing and delivery of sample product to prospective customers
  • Maintain up-to-date records for all open and prospective wholesale accounts including contracts, relevant correspondence, contact information, and order history
  • Compile and process intake paperwork for new wholesale accounts
  • Maintain accurate records of buying history for all accounts. Prepare regular sales reports for Business Development Manager
  • Create sales kits for prospective accounts with up-to-date information on products, mission, press and pricing
  • Collaborate with Production and Operations Managers to track weekly inventory of packaged products
  • Other work may be required to support Hot Bread Kitchen’s general organizational needs, including time working to support with packing, production, farmers’ markets or other retail sales.

Required Skills:

  • Extremely organized and impeccable attention to detail.
  • Excellent interpersonal & customer service skills. Ability to read, write and speak in English is required
  • Proficiency in all Microsoft Office applications including Excel.
  • Experience with Quickbooks or other sales software a plus.
  • Demonstrated ability to effectively interact with people of diverse socioeconomic, cultural, disability, and ethnic backgrounds. Flexibility in working weekends and holidays
  • Passion for Hot Bread Kitchen’s mission and products
  • Valid drivers’ license with clean driving record desired, but not required

Hours & Compensation:

  • Full-time: 5 days/week on weekdays and weekends.
  • This is an entry-level position in a growing organization.
  • Eligibility for paid vacation and health benefits package after 3 months full-time employment.

Market Supervisor

One of Hot Bread Kitchen’s primary sales channels is New York City’s Greenmarkets.  We are seeking a talented individual to help us grow our sales and raise awareness about Hot Bread Kitchen’s products and mission.

Responsibilities Include:

  • Oversee market site: setup and breakdown of booth, pre-and post inventory levels, adherence to market rules & regulations, receive and inspect all delivery drop-offs and pick-ups
  • Monitor and ensure accurate inventories and sales counts through inventory records and register entry.
  • Educate customers about products including ingredients, sources, baking methods, as well as the message and mission of Hot Bread Kitchen
  • Ensure that Hot Bread Kitchen bakers and volunteers working during your shift understand products and comply with Hot Bread Kitchen and Greenmarket policies
  • Maintain an engaging, attractive appearance of booth, bread display and entire work area. Ensure that products, signage, and HBK literature are displayed and kept clean.
  • Communicate inventory needs, customer requests/complaints, and feedback from Greenmarket Managers to Hot Bread Kitchen Market Manager
  • Commuting to markets in the Manhattan, Queens, and Brooklyn area. Commuting to Harlem to complete closing duties which includes packing for the following market day.

Required Skills:

  • Demonstrated ability to effectively interact with people of diverse socioeconomic, cultural, disability, and ethnic backgrounds.
  • Excellent interpersonal & customer service skills. Ability to read, write and speak in English is required
  • 2+ years of customer service and/or food service experience. Knowledge of proper health & sanitation guidelines
  • Must be exceptionally punctual, organized, and detail-oriented.
  • Has ability to work early hours (5am), stand on feet for up to 12 hours and work in all weather conditions year round. Must be able to work weekends/holidays.
  • Ability to lift 50 lbs.
  • Strong interest in food and a commitment to Hot Bread Kitchen’s mission
  • Valid drivers’ license with clean driving record desired, but not required

Hours & Compensation:

  • Part-time or full-time: 10-38 hours per week on Saturdays, Sundays, Wednesdays and/or Fridays. Weekend availability a must.

Bakery

Baking Trainees

Do you have knowledge of a traditional bread recipe? Interested in learning how to bake in an industrial kitchen and start a career in the food industry?

Hot Bread Kitchen’s intensive training program serves immigrant women who are entrepreneurial, passionate about food, and eager to market their breads. We make it a priority to reach out to women who lack opportunities for professional development. To date, Hot Bread Kitchen has trained bakers from Morocco, Mali, Mexico, Afghanistan, Bangladesh, Chad, Tibet, and Ecuador. Diversity is one of our team’s greatest assets and we encourage foreign-born women of all nationalities to apply.

While a basic level of English is required to communicate in the kitchen, we provide individualized ESL classes so that our bakers can perfect their language skills. Our training is geared toward women who have experience baking at home and recipes they are interested in developing; however, professional baking experience is not required.

Packing Associate

A reliable individual who can efficiently perform bread packing duties for our non-profit bakery. The packing coordinator’s job is to pack breads, create driver lists, organize orders for delivery, and communicate responsibly with production, facilities and operations manager. This person must maintain packing systems, organize delivery lists, and handle invoice distribution.

Responsibilities:

  • Spearheads all wholesale and market packing for 24 hour a day, 7 day a week bakery
  • Must date, slice, package and bag breads according to Operations Manager’s instructions
  • Responsible for double checking all invoices against packing lists and making sure they are distributed correctly to both the customer and driver
  • Keep bakery, kitchen, storage and office premises in clean and orderly condition
  • Ensures that all pre-packaged products are out and ready for delivery
  • Checks off packing report numbers as packaging materials are prepared for next day’s deliveries
Skills and Experience Desired:
  • High level of organization and attention to detail
  • Ability to take directions and work independently

Incubator Kitchen


Business Coach Volunteer

HBK Incubates is Hot Bread Kitchen’s growing incubator program and seeks volunteers with business experience to provide one-on-one coaching every two weeks for start-up entrepreneurs in the program in topics such as accounting and marketing at our East Harlem location.

Responsibilities:

  • Meet every two weeks with entrepreneurs to review progress, discuss and address business challenges and create action steps
  • Prepare appropriate discussion topics, tools, homework assignments
  • Work with HBK staff and entrepreneur to establish goals and track progress
  • Incorporate relevant curriculum from Hot Bread Kitchen’s library, administer diagnostics to evaluate and record business’ progress
  • Attend periodic workshops with Hot Bread Kitchen staff and volunteers

Skills and Experience Desired:

  • Experience in general management, consulting or professional services
  • Ability to work independently and collaboratively
  • Willingness to communicate regularly with Hot Bread Kitchen staff, accept feedback and share resources with HBK staff and volunteers
  • Commitment to HBK mission

This volunteer opportunity requires a minimum commitment of 2-4 hours every other week (1-2 hours of coaching, 1 planning). Coaching is generally conducted during our office hours, Monday-Friday, 9am-5pm in our commercial kitchen and office space. Schedule to be determined based on coach and business’ availability. This position requires a minimum 6-month commitment.

Culinary Consultant

HBK Incubates is looking for trained culinary professionals well versed in their type of production to work with start-up food businesses for on-site one-on-one coaching. We are looking to build a roster of excellent culinary consultants who have experience working in commercial kitchens and will provide expertise and feedback on best practices. For example, a new French macaroon producer might need help with scaling up their recipe for commercial production, recipe development, and/or streamlining their production to be more efficient in the kitchen. Another example could be working with one of our caterer clients, who might need help in timing and execution. After each session with a client, culinary consultants will provide written and verbal documentation and feedback on work with each business.

Skills and Experience Desired:

  • Knowledge of proper health and sanitation guidelines including handling preparation and storage
  • Strong commitment to the kitchen as job training environment. Strong leadership, coaching and development skills. Exceptional prioritization and organizational skills
  •  Some experience in culinary education
  • Culinary Degree from a recognized institution and/or significant kitchen management experience.
  • Excellent verbal and written communication skills. Ability to read, write and speak in English is required. French, Spanish speakers are strongly encouraged to apply.

Other Information:

  • Time commitment of usually 4 hour shifts. Frequency based on volunteer’s availability.
